Document review is one of the most tempting places to use GenAI. Many teams spend hours reading policies, proposals, reports, memos, employee communications, vendor materials, and project documents. They look for unclear language, missing context, inconsistent claims, policy misalignment, approval issues, and risks that need to be resolved before the document moves forward.

GenAI can help with that first pass. It can identify issues, suggest redlines, compare a document against stated criteria, and prepare summaries that help reviewers focus.

But document review is not just a reading task. It is a judgment workflow.

It may miss an approval issue because the approval standard was never provided. It may flag concerns that are not material, or fail to separate factual problems from preference-based edits.

There is also an accountability risk. A redline suggestion can feel more concrete than a general comment. If teams accept suggested edits without understanding the reason, they may treat GenAI as if it has approved the document. It has not. Human reviewers remain accountable for what changes are accepted, what risks are escalated, and whether the document is ready to move forward.

The Workflow Pattern: Review -> Redline -> Approve

The Review step defines the criteria and asks GenAI to evaluate the document against them. The criteria may include audience fit, policy alignment, completeness, evidence support, tone, decision readiness, data sensitivity, or specific organizational standards. The Redline step turns selected observations into suggested changes. GenAI can propose revised wording, identify sections that need clarification, or prepare a change summary for the human reviewer. Redlines are recommendations. They should be traceable to a reason and reviewed before they are accepted.

The Approve step stays with people. A manager, subject matter expert, HR partner, legal reviewer, compliance owner, or functional leader decides whether the document is ready. They may accept, reject, or revise suggested edits. They may require additional evidence. They may escalate the document before approval. The workflow should make that ownership visible.

This distinction is important. GenAI can accelerate document review, but it should not blur the line between assistance and accountability.

What Good Looks Like

A strong GenAI-assisted document review starts with a clear review frame.

The reviewer should be able to state what kind of document is being reviewed, who the audience is, what criteria apply, what source material or policy should be used, what information is sensitive, and what decision the review supports. If the document involves people, compliance, contracts, customer commitments, or regulated language, the data-handling and escalation boundaries should be explicit.

The output should separate issues from redlines. An issue might say that a section makes a claim without evidence, uses language that does not fit the audience, or omits a required approval step. A redline suggestion might propose a revised sentence or paragraph. Keeping those separate helps the reviewer understand the reasoning rather than accepting edits because they sound fluent.

An approval-ready summary should preserve evidence and uncertainty. It should list material changes, unresolved questions, risks that remain, and any sections that require expert review. It should not imply that the document has passed review simply because suggested edits were generated.

That kind of structure helps teams use GenAI without weakening the approval path. The tool can organize attention, make review more consistent, and reduce some drafting friction. The human reviewer still owns the criteria, interpretation, accepted changes, and final decision.

In each case, the benefit is not that GenAI "approves" the document. The benefit is a more structured first pass and a clearer review record. The team can see what criteria were used, what issues were identified, what edits were suggested, and what still needs human judgment.
